Notifications
The email Manifold sends on your behalf, who it goes to, and how to see what was sent.
Set it up in Settings › Notifications. The screen has four parts: the sender, the sending domain, a test message and the most recent messages. Only an owner or an admin can change the sender or the domain. Other people can see the settings but not change them.
What is sent today: the test message on this screen. Emailing invoices, quotes, order confirmations and purchase orders to customers and suppliers is not available yet. Set up the sender and domain now so mail is ready when it is.
Invitations, sign-in links and password resets are not your organization's mail. They come from Manifold and are not affected by these settings.
1. Save the sender
Nothing is sent until the sender is saved.
- Sender name
- The name customers and suppliers see, usually your trading name.
- Accounts email
- The one address replies go to. Use a mailbox someone reads.
Choose Save sender. The line at the top of the screen then says where mail goes
out from. Until your own domain is verified, it goes out from Manifold's sending address under
your name, for example "Ridgeline Outdoor" <notifications@send.getmanifold.io>,
and replies reach your accounts email.
2. Send from your own domain
So that recipients see your own address, add your domain. It needs a few DNS records at the company that hosts your domain's DNS.
- Under Sending domain, enter your domain (for example
yourstore.com) and choose Add domain. It is suggested from your accounts email. - Create each record the table lists, at your DNS host. Use the copy buttons for the name and the value.
- Wait. Manifold checks every 10 minutes. Choose Check now to check at once.
Most DNS hosts add your domain to the name for you, so type the short name: bounce,
not bounce.yourstore.com. New records usually show up within an hour, and can take
up to 72 hours.
- Signs your mail (DKIM)
- Three CNAME records. They prove the mail is yours. Required.
- Receives bounces
- An MX record on
bounce, so undeliverable mail comes back to Manifold. Required. - Authorises the bounce address (SPF)
- A TXT record on
bounce. Required. - Your DMARC policy
- A TXT record on
_dmarc. Recommended. Any DMARC record you already have counts.
Keep any SPF or DMARC record you already have. The bounce records sit on their own subdomain, so nothing you have today needs to change.
What the statuses mean
- Waiting for DNS
- Records are still missing, or all are found and our mail service has not confirmed yet. The screen says how many are left.
- Verified
- Mail is signed with your domain's keys. Keep the records in place: removing one stops mail going out from your address.
- Not verified
- The records were not found within 72 hours, or our mail service stopped recognising the domain. Check the records, then choose Remove and add the domain again.
Each record also shows its own state:
- Found
- The record is in place.
- Missing
- Not found yet. Create it, or wait for DNS to catch up.
- Different value
- A record exists with another value, shown under Found instead. Correct it to the value in the table.
- Not checked
- Not looked up yet.
When mail goes out from your address
Two things must be true: the domain is Verified, and your accounts email is on that domain. If the accounts email is on another domain (a Gmail address, say), mail keeps going out from Manifold's address and the screen warns you. Change the accounts email to an address on your domain.
One organization can hold one sending domain, and a domain can belong to only one organization. To use another domain, remove the one you have first.
3. Send a test message
Under Send a test message, enter an address and choose Send test. It goes out exactly as a customer would receive it, from the address mail goes out from now. A test is sent even while your organization is read-only.
4. See what was sent
Recent notifications lists the latest messages: subject, recipients, the address it came from and when it was sent.
- Sending
- Handed to our mail service and waiting for its answer. If the service is down, it is retried until it answers.
- Sent
- The mail service accepted it.
- Failed
- The mail service refused it, for example a rejected or blocked address. The reason is shown in red.
If your connection drops while sending a test, it is not sent twice.
In a sandbox the screen is hidden, and mail goes only to your own team's company addresses.
For developers
- Flow: send mail from your own domain: the calls behind this screen, step by step.
- Notifications API: sender, domain, test sends and the log.
- Idempotency and retries and Read-only mode.
